Consultations book in the evening. Your front desk goes home at five.

The patient researching veneers or injectables is doing it at 9pm, and the practice that captures that moment books the consult. The one with a contact form gets an email nobody answers until Tuesday.

How the day actually goes

Where the work leaks.

Your front desk is running check-ins, insurance verification, and the phone all at once, and the schedule is the whole business — an empty chair is revenue that cannot be recovered. Evenings are when patients actually research and decide, which is precisely when the office is closed. Then there's the other half of the job: the no-show and the last-minute cancellation, which nobody has time to backfill because filling a 2pm slot at 11am means calling down a waitlist by hand.

  • Evening consultation enquiries

The highest-intent moment in an elective-treatment decision, landing hours after the office closed.

  • Cancellations nobody has time to backfill

An unfilled chair is a fixed cost with no revenue against it, and it's the most recoverable loss on this list.

  • Price questions the front desk won't answer by phone

Patients read that as evasion and call the practice that publishes a starting figure.

  • Recall and follow-up that slips

The six-month hygiene visit or the touch-up appointment that simply never gets rebooked.

What to deploy

Named by the job it does for you.

  1. Start here

Answer questions & book jobs, 24/7

Handles the evening researcher: what a treatment involves, downtime, whether you offer it, starting prices you're comfortable publishing, and financing. Books the consultation while they're still interested rather than leaving a form for Tuesday.

    $950 then $95/mo
  2. Then

    Text back every missed call

A missed call from a prospective patient gets a text back within a minute, and can offer the consult slot directly. For elective treatment, the practice that responds first very often books it.

    $750 then $95/mo
  3. Then

    An assistant for your office

The office-side work: filling a cancellation from the waitlist without anyone dialling down a list, running recall for patients overdue, and confirming appointments so the no-show rate drops.

    from $2,500 then $250/mo
  4. Then

    Review engine

Asks for the review after treatment, and routes an unhappy patient to your practice manager privately — which for a clinical practice is worth considerably more than the review itself.

    $600 then $60/mo

Every deployment includes training on your business, guardrails in writing, and a two-week supervised launch. See the full menu or work out your number.

When it gets busy

The Central Florida calendar.

Two patterns overlap here. Dental follows the insurance year — a real rush in the fourth quarter as patients use benefits before they reset, and a slower first quarter after deductibles restart. Aesthetics follows social calendars: bookings climb before wedding season and the winter holidays, and treatments with visible downtime skew toward the cooler months, which in Central Florida is a longer window than most of the country. Snowbird months, roughly November through April, add seasonal-resident demand across both.

The site itself

What your website has to do.

  • A page per treatment, because that's what patients actually search — not a single 'services' list
  • Starting prices or clear ranges, since a practice that publishes nothing reads as expensive
  • Real before-and-after imagery with proper consent, which for aesthetics is the single strongest converting element
  • Provider credentials stated plainly — who is performing the treatment, and what they're licensed to do

All of it is in the published build prices — see the tiers.

Before you call

What med spas & dental owners ask.

Is this HIPAA compliant?

Straight answer: a public website assistant should not be collecting protected health information, and this one is built not to. It handles pre-appointment questions and booking requests — name, contact, what they're interested in. Anything clinical goes to your staff through the systems you already use for it. If you need a patient-facing tool that handles PHI, that's a different build with a business associate agreement, and I'll say so rather than sell you this.

Can it give medical advice?

No, and that's an explicit guardrail, not a hope. It describes treatments in the words you approve and routes every clinical question to a provider. You sign off on exactly what it can say before it launches.

We don't publish prices.

Then it won't either — it only ever quotes what you publish. Worth knowing that a starting figure is usually the single biggest lever on consult bookings for elective treatment, but that's your call, and the assistant works the same either way.

Will it integrate with our practice management software?

It hands off cleanly to most scheduling systems, and where a direct integration isn't available it delivers the booking request to your front desk with everything already gathered. Tell me what you run on the walkthrough and I'll tell you honestly which of those two it'll be.
